To every student who has answered the call to be equipped for compassionate ministry —

When the Kingdom Care Ministry Academy was entrusted to my oversight, I was given one charge: build something that lasts. Not a program that depends on one person, not a season of activity, but an Academy whose standards, expectations, and Christ-centered training could be handed to the next Director in a single binder and run faithfully from the first day. This manual is the fulfillment of that charge.

The Kingdom Care Ministry Academy forms the heart and skills of those called to compassionate ministry. This Policies & Procedures Manual governs how the Academy operates — how we admit students, deliver training, protect confidentiality, respond in crisis, document our work, assess learning, and hold one another accountable in love. It is the official standard against which every Academy decision is measured. Where a question of practice arises, the answer begins here.

These pages are not bureaucratic restraint. They are the shared commitment of a community that has learned, over years of service, that compassion without structure eventually wounds the very people we mean to help. Boundaries protect the vulnerable. Documentation honors every story entrusted to us. Confidentiality earns the trust that makes ministry possible. Each policy in this manual exists because someone we served needed us to get it right.

This manual governs Kingdom Care Ministry Academy operations, students, administrators, Academy-sponsored activities, curriculum, assessment, records, and conduct when representing or participating in the Academy. Graduates who serve in their own churches, ministries, or organizations remain under the governance of those settings. The Academy does not permanently supervise every graduate in every outside ministry context.

Read this manual carefully. Return to it often. Let it shape your participation, and let your experience, in turn, shape the next revision. May everything written here be measured against the one standard that surpasses every policy: that we love one another as Christ first loved us.

Purpose of the Manual

The Kingdom Care Ministry Academy Policies & Procedures Manual establishes the official standards, expectations, ethical guidelines, and operating policies governing Kingdom Care Ministry Academy operations, students, administrators, Academy-sponsored activities, curriculum and assessment procedures, Academy records, and conduct when representing or participating in the Academy.

These policies are designed to promote consistency across every Academy activity, protect the confidentiality and dignity of every person served through Academy-sponsored ministry, encourage mutual accountability among students and staff, support Biblical servant leadership at every level, and ensure that each individual receiving Kingdom Care through Academy-sponsored activities is served with compassion, excellence, and unwavering integrity.

This manual functions as the official governing document of the Academy. It is not advisory. Where a practice, question, or disagreement arises concerning how something should be handled within the Academy, the policy contained in this manual is the standard of record. No student, administrator, or staff member may establish a local practice that contradicts a policy herein without formal exception approved under Policy 1.07 and Policy 10.05.

Every student, administrator, and staff member is expected to become familiar with these policies, sign the KCMA Student/Graduate Policy Acknowledgement (Appendix D) upon enrollment and again at each annual review where applicable, and uphold them faithfully while participating in the Academy. Graduates serving in outside churches, ministries, or organizations follow the approved policies of those settings; the Kingdom Care practice standards taught by the Academy serve as training principles alongside the organizational policies of the setting where the graduate serves.

How to Use This Manual

This manual is organized into ten sections, each containing individually numbered policies. Policies are referenced by number — for example, "Policy 2.03" rather than "the section on confidentiality." This allows the manual to grow over time without renumbering entire sections; a new policy can be inserted as Policy 1.08 without disturbing those around it.

Each policy follows an identical structure so that any reader can find the same information in the same place every time: Purpose, Policy Statement, Procedures, Responsibilities, Exceptions, Related Forms, Related Policies, Effective Date, Last Reviewed, and Revision History. When a policy references another, the related policy number is a live link within the digital manual.

Use the left navigation to browse sections and policies. Use the search field to locate a policy quickly by number or title. Bookmark the policies you reference most often. A print-friendly layout is available for training binders, commissioning packets, and leadership reference. The appendices contain the forms, definitions, crisis resources, flowcharts, and review checklists referenced throughout the manual.

Students are expected to read the full manual upon enrollment and to review any policy relevant to a situation before acting when time permits. In an emergency, follow Section 7 first, then consult the applicable policy afterward. When in doubt, contact the Academy Director before proceeding.

This manual is a living document. Policies are reviewed in full at least annually under Policy 10.01, and individual policies may be revised between annual reviews when Academy needs or legal requirements change. All revisions are recorded within each affected policy's Revision History and summarized in the manual-level revision log below.

Only the Director may propose revisions (Policy 10.02); revisions take effect upon approval by the Director (Policy 10.05). No student or staff member may amend a policy locally. The current digital version is always the official version of record.

Academy Governance

Policy 1.01

Academy Authority

Purpose

To establish the source and proper exercise of all authority within Kingdom Care Ministry Academy, so that every student and participant serves under clearly defined administrative leadership rather than personal initiative.

Policy Statement

All authority within Kingdom Care Ministry Academy is delegated authority, entrusted to the Academy Director, and exercised as servant leadership — never as control — and always for the building up of those receiving care through Academy-sponsored activities. No student or graduate exercises independent authority on behalf of KCMA apart from this accountability. The Academy Director holds final administrative authority over Academy operations, curriculum, admissions, student conduct, student access, assessments, practicum administration, final examination administration, Registrar and completion processes, Academy records, Academy-sponsored activities, policy enforcement, and Academy communications.

Procedures

Policy 1.02

Director Oversight

Purpose

To define the scope and manner of the Director's oversight so that Kingdom Care Ministry Academy remains under clear administrative accountability.

Policy Statement

The Academy Director provides leadership, vision, and final accountability for Kingdom Care Ministry Academy. The Director reviews the state of the Academy, seeks counsel on matters of significance, and directs any situation involving policy, student conduct, or significant Academy community impact.

Procedures

  1. 01The Director reviews a written Academy summary at least quarterly, including activity, needs, and any concerns.
  2. 02Schedule a monthly review meeting to discuss active situations and Academy direction.
  3. 03Address any matter involving policy, student conduct, a threat to Academy community unity, or the conduct of an Academy leader.
  4. 04Do not act on a matter of significant weight without prayerful consideration; pause, document, and seek counsel.
  5. 05Implement decisions faithfully and communicate them clearly to those affected.

Policy 1.03

Director Responsibilities

Purpose

To define the responsibilities and authority limits of the Director so that Academy operations are led consistently, accountably, and in alignment with the Academy's mission and standards.

Policy Statement

The Academy Director is accountable for the daily leadership of Kingdom Care Ministry Academy. The Director oversees Academy administration, curriculum oversight, admissions, student conduct, student access, assessments, practicum administration, final examination administration, Registrar and completion processes, Academy records, Academy-sponsored activities, policy enforcement, and Academy communications. The Director does not act independently of the Academy's standards and this manual.

Procedures

  1. 01Maintain the student roster, including enrollment status, progress, and review dates.
  2. 02Enforce every policy in this manual consistently, addressing deviations through coaching and, when necessary, the processes in Section 8.
  3. 03Oversee Academy completion, commissioning, and continuing education where applicable.
  4. 04Review and approve all incident reports within 48 hours of submission and escalate as warranted.
  5. 05Convene Academy community meetings and the annual review of this manual.

Receive direction from the Director and participate accordingly.

Exceptions (if applicable)

When the Director is the subject of a concern or conflict, the Director recuses themselves and an interim lead is appointed to oversee the matter.

Academy Mission

Purpose

To state the mission of Kingdom Care Ministry Academy so that every policy, procedure, and interaction serves a single, shared purpose.

Policy Statement

The mission of Kingdom Care Ministry Academy is to provide faith-based ministry training in biblical foundations, compassionate care, active listening, prayer and encouragement, boundaries, referral awareness, ethical ministry, crisis recognition and appropriate escalation, ministry communication, documentation principles, and responsible service — equipping students to serve with compassion and excellence in churches, ministries, nonprofits, community organizations, online ministry environments, volunteer settings, and other appropriate faith-based service contexts.

Academy Vision

Purpose

To articulate the long-term vision of Kingdom Care Ministry Academy so that present decisions serve a faithful future.

Policy Statement

The vision of Kingdom Care Ministry Academy is that every person called to compassionate ministry has access to faithful training, and that graduates are equipped to serve in churches, ministries, and communities where no one carries their burden alone — where prayer, a listening ear, and faithful care are available, and where those who serve are continually formed through ongoing learning and community.

Policy 1.06

Organizational Structure

Purpose

To define the structure of Kingdom Care Ministry Academy so that every student knows where they fit, to whom they report, and how the Academy is organized.

Policy Statement

Kingdom Care Ministry Academy is structured as an Academy under the Academy Director. Within the Academy, roles may include administrators, facilitators, and student leaders for Academy-sponsored activities. All roles remain under the Director's coordination. KCMA does not maintain a permanent centralized volunteer ministry team; graduates serve independently in their own ministry contexts after completion.

Procedures

Policy 1.07

Decision-Making Authority

Purpose

To establish how decisions are made within Kingdom Care Ministry Academy so that authority is exercised clearly, prayerfully, and at the appropriate level.

Policy Statement

Decisions are made at the lowest competent level and escalated when they exceed that level. Students make day-to-day participation decisions within their assignments. The Director makes operational and policy decisions for the Academy. The Academy Director holds final administrative authority over Academy matters. Significant decisions are made prayerfully, documented, and communicated to those affected.

Procedures

  1. 01Make routine decisions within your assignment; document them as required by Section 9.
  2. 02Escalate to the Director any decision involving uncertainty, conflict of interest, or potential escalation.

Kingdom Care Ministry Academy accepts students through a defined application process. Applications are reviewed by the Academy Director. An interview may be conducted where applicable. Acceptance or denial is at Academy discretion. Applicants must provide truthful information throughout the application process.

Purpose

To clarify the flow from acceptance to official enrollment and student access activation.

Policy Statement

The enrollment flow is: Application → Review and Interview → Acceptance → Enrollment selection → Tuition payment → Student access activation → Official enrollment. Student access to Academy resources is activated upon tuition payment and enrollment confirmation.

To distinguish the free community access option from paid Academy enrollment.

Policy Statement

Kingdom Care Ministry Academy offers a free community option at no cost, and paid Academy enrollment options. Standard Academy Enrollment is $149 one-time. Enhanced Academy Enrollment is $197 one-time. Enhanced Enrollment includes exactly one private 60-minute Academy Coaching Session with the Director. No additional private coaching is included or promised under Enhanced Enrollment beyond this single session.

No-Refund Policy

Purpose

To state the Academy's tuition refund policy clearly so that students understand the financial commitment before payment.

Policy Statement

All Academy tuition payments are final and nonrefundable once payment has been made and student access has been activated. Refunds are not provided for change of mind, withdrawal, nonparticipation, failure to complete, failure to pass, or failure to use resources. Duplicate or demonstrably erroneous charges may be corrected.

Qualifications

Purpose

To define who may serve as a Kingdom Care Advocate in Academy-sponsored activities so that the Academy is represented by mature, trained, and accountable individuals.

Policy Statement

A Kingdom Care Advocate is an individual who has completed the Kingdom Care Ministry Academy, signed the KCMA Student/Graduate Policy Acknowledgement Form, and been commissioned. No one serves as an Advocate in an Academy-sponsored activity who has not completed these steps. KCMA does not require that students be members of a specific church.

Procedures

  1. 01Complete the full Academy curriculum, including all reflection, prayer, and Kingdom in Action components.
  2. 02Obtain Director recommendation prior to commissioning.

Spiritual Expectations

Purpose

To define the spiritual life expected of every Advocate so that ministry flows from a living, personal walk with Christ.

Policy Statement

Every Kingdom Care Advocate is expected to maintain an active personal relationship with Christ through prayer, Scripture, worship, and participation in the life of the Academy community. An Advocate cannot give what they do not possess; personal spiritual vitality is the foundation of all Kingdom Care.

To define the conduct expected of every student and Advocate so that the Academy is represented with integrity, consistency, and Christlikeness in every setting.

Policy Statement

Kingdom Care Advocates conduct themselves with integrity, punctuality, respect, and emotional maturity in every Academy interaction. Though serving as volunteers in many contexts, Advocates hold themselves to a professional standard of reliability, preparedness, and follow-through, recognizing that those we serve depend on us.

To establish mutual accountability among students and Advocates so that no one serves in isolation and every participant remains under loving oversight during Academy-sponsored activities.

Policy Statement

Every student and Advocate serves under accountability to the Academy Director and, where assigned, to a facilitator or team lead for Academy-sponsored activities. Accountability is not suspicion; it is the shared practice of reviewing our service, learning together, and protecting one another from error, burnout, and compromise.

Policy Statement

Students are expected to participate in required coursework, live sessions where applicable to their enrollment format, and required Academy activities. KCMA may use live sessions, prerecorded instruction, self-paced learning, and blended learning. Students complete required components applicable to their enrollment format. Reliable participation is a matter of integrity. Repeated unexcused non-participation is addressed under Policy 8.07.

Continuing Education

To encourage ongoing growth in skill and wisdom after completion so that graduates remain current where they serve in Academy-sponsored roles.

Policy Statement

KCMA encourages continuing education for graduates serving in ministry. Continuing education requirements apply to Academy-sponsored activities and roles. KCMA does not universally require annual continuing education of all graduates in every outside ministry setting unless participating in a specific Academy-sponsored activity where requirements apply.

Students commit to faithful participation in the Academy for the duration of their enrollment. The commitment is voluntary in entry and faithful in fulfillment. Graduates are not permanent KCMA volunteers; upon completion, they serve in their own ministry contexts under their own church, ministry, or organization's governance.

Integrity

Purpose

To establish integrity as the baseline of all Advocate conduct, since trust in the ministry depends on the trustworthiness of each Advocate.

Policy Statement

Kingdom Care Advocates speak truthfully, keep commitments, avoid any form of deception, and act consistently in private and in public. Integrity means there is no gap between who we are in ministry and who we are the rest of the week.

Advocates treat every person — those served, peers, leaders, and guests — with respect regardless of background, belief, behavior, or circumstance. Respect is not contingent on agreement; it is owed to every person as a bearer of God's image.

Policy 3.03

Confidentiality

Purpose

To protect the privacy, dignity, and trust of every person receiving Kingdom Care while preserving appropriate ministry communication and safety responsibilities.

Policy Statement

All Kingdom Care Advocates shall maintain confidentiality regarding information shared during Academy-sponsored ministry interactions except when disclosure is required by Academy policy, applicable law, or when there is an immediate concern for the safety of an individual or others. These confidentiality principles are taught as Kingdom Care practice standards for ministry service. Where a graduate serves in an outside church, ministry, or organization, that organization's approved safeguarding and confidentiality procedures also apply. Confidentiality is a sacred trust, not a convenience.

Procedures

  1. 01Do not discuss care conversations with unauthorized individuals, including spouses or close friends.
  2. 02Store ministry documentation securely per Section 9.
  3. 03Share information only with the Director or Team Lead when ministry necessary.

Appropriate Communication

Purpose

To define how Advocates communicate with those they serve so that communication is clear, kind, appropriately bounded, and never harmful.

Policy Statement

Advocates communicate with warmth, clarity, and restraint. Communication is bounded by ministry purpose, occurs through approved channels, and avoids any language that is romantic, suggestive, coercive, or spiritually manipulative.

Social Media

Purpose

To govern Advocates' use of social media so that the ministry's integrity and the privacy of those served are protected online.

Policy Statement

Advocates maintain a social media presence consistent with their calling. They never disclose care information, identify those they serve, or engage in conduct online that would discredit the ministry.

Procedures

  1. 01Never post about a person you are serving or have served, even de-identified details that could be inferred.
  2. 02Do not friend, follow, or message those you serve in a manner that blurs ministry boundaries; defer personal connection until after the care relationship concludes where appropriate.

Policy 3.06

Conflict Resolution

Purpose

To provide a Christ-honoring path for resolving conflict so that disagreements restore rather than divide the team.

Policy Statement

When conflict arises, Advocates follow the pattern of Matthew 18: address the person directly and in love; if unresolved, involve one or two others, then the Director; matters of significance are addressed by the Director. Conflict is handled promptly, privately, and with a goal of restoration.

Procedures

  1. 01Go directly to the person with whom you have concern; speak honestly and graciously.
  2. 02If unresolved, invite your Team Lead to assist the conversation.
  3. 03If still unresolved, bring the matter to the Director.

Policy 3.07

Representation of the Academy

Purpose

To ensure individuals represent Kingdom Care Ministry Academy accurately and humbly when acting in an Academy capacity.

Policy Statement

Graduates do not permanently represent KCMA merely because they completed the Academy. Representation policies apply when someone is enrolled as a student, participating in an Academy-sponsored activity, using Academy branding, identifying themselves as acting for KCMA, speaking publicly on behalf of KCMA, or serving in a formally designated Academy role. In those contexts, individuals represent the Kingdom Care Ministry Academy accurately and humbly, and do not speak for the Academy on doctrine, policy, or public positions without authorization.

  1. 01Describe the Academy accurately: faith-based ministry training — prayer, presence, listening, and referral — not clinical care.
  2. 02Do not make public statements on behalf of the Academy without Director approval.

Ethical Conduct

Purpose

To define the ethical standards that govern every Advocate decision, especially where no specific policy speaks directly.

Policy Statement

Where this manual does not address a situation directly, Advocates act according to the ethical standards of honesty, care for the vulnerable, avoidance of harm, respect for persons, and submission to oversight. When unsure, an Advocate pauses and consults the Director before acting.

To present the ministry with dignity and consistency in every setting.

Advocates present themselves neatly and modestly, appropriate to the setting — whether in-person, virtual sessions, or in-world (Second Life) ministry. Appearance should not distract from the ministry or compromise the comfort of those served.

Prayer Requests

Purpose

To govern how prayer requests are received, held, and shared so that those who ask for prayer are honored and protected.

Policy Statement

Prayer requests are held in confidence. An Advocate may share a request only with the person's permission, only for the purpose of prayer, and only with those who need to know. Vague "prayer needs" may be shared generally only when the person has agreed and identifying details are removed. These principles apply to Academy-sponsored activities and are taught as Kingdom Care practice standards. Where a graduate serves in an outside church, ministry, or organization, that organization's approved confidentiality procedures also apply.

Procedures

  1. 01Ask the person how they wish their request to be held: private, with the prayer team, or shared with the congregation.
  2. 02Share only what the person has authorized, and only with those who will actually pray.

Confidential Records

Purpose

To identify which ministry records are confidential and govern their handling throughout their lifecycle.

Policy Statement

All Kingdom Care records — prayer logs, care contact logs, follow-up forms, incident reports, referral forms, and applications — are confidential records. They are created, stored, retained, and destroyed according to Section 9.

Policy 4.08

Exceptions to Confidentiality

Purpose

To define clearly when confidentiality may or must be breached so that Advocates act confidently in safety situations and never breach confidentiality casually.

Policy Statement

Confidentiality is breached only when (a) there is an immediate concern for the safety of the individual or others, (b) disclosure is required by applicable law, (c) the Academy Director directs disclosure for the protection of the Academy community in Academy-operated activities, or (d) the person gives informed consent. In all cases, the Advocate involves the designated leadership immediately and shares only what is necessary. For Academy-operated activities, contact the Academy Director. For outside churches, ministries, or organizations, follow that organization's approved safeguarding, confidentiality, reporting, and escalation procedures.

Scope of Ministry

Purpose

To define clearly what Kingdom Care is and is not, so that Advocates serve within their gifts and refer what lies beyond them.

Policy Statement

Kingdom Care is a ministry of prayer, presence, active listening, emotional support, and appropriate referral. It is not professional counseling, therapy, medical care, legal advice, financial advising, or crisis intervention. These are Kingdom Care practice standards taught by KCMA. Advocates serve within this scope in Academy-sponsored activities and refer beyond it. Where a graduate serves under another church, ministry, or organization, that graduate must also follow that organization's approved policies. KCMA does not become the governing authority of the outside organization.

Policy 5.04

Dual Relationships

Purpose

To manage situations where an Advocate has a pre-existing or additional relationship with someone they serve.

Policy Statement

Where an Advocate has another relationship with a person in care (family, friend, business, professional), the Advocate discloses this to the Director and, where possible, refers the care to another Advocate to preserve objectivity and safety.

Procedures

Purpose

Advocates do not provide personal financial assistance, lend money, co-sign obligations, or handle a person's funds. Financial needs are referred to appropriate community resources or the benevolence process of the church or organization where the person is connected.

Counseling versus Kingdom Care

Kingdom Care is not counseling. Advocates listen, pray, encourage, and reflect on Scripture; they do not diagnose, treat, or provide therapy. Where a need exceeds Kingdom Care, Advocates refer to qualified professional counselors and pastoral care.

Purpose

To document ministry activity consistently so that care is continuous, accountable, and protected.

Policy Statement

Every significant ministry interaction is documented accurately and promptly in the appropriate record for Academy-sponsored activities. Documentation is factual, respectful, secure, and limited to what is necessary. These documentation principles are also taught as Kingdom Care practice standards for ministry service. Where a graduate serves in an outside organization, that organization's documentation procedures apply.

Procedures

  1. 01Document each significant Academy-sponsored interaction within 24 hours.

Communication

Purpose

To ensure ministry communication is timely, respectful, and bounded.

Policy Statement

Ministry communication is purposeful, kind, and bounded by appropriate channels and hours. Advocates communicate in a manner that honors those served and protects boundaries. These standards may govern Academy-sponsored care activities. When students or graduates serve elsewhere, these function as training principles alongside the policies of that service setting.

Closing Care Requests

Purpose

To close care relationships thoughtfully so that endings are clear, respectful, and not experienced as abandonment.

Policy Statement

A care relationship is closed when the person's need has been met, referred, or the person no longer wishes to continue. Closure is communicated kindly, documented, and leaves the door open to future care. These standards may govern Academy-sponsored care activities. When students or graduates serve elsewhere, these function as training principles alongside the policies of that service setting.

Policy 7.01

Suicidal Statements

Purpose

To respond to suicidal statements with urgency, compassion, and clear action so that life is protected.

Policy Statement

Any statement indicating suicidal thoughts or intent is treated as serious. The Advocate stays with the person, asks directly and calmly whether the person is thinking about suicide, self-harm, or ending their life, contacts emergency services for immediate danger, notifies the designated leadership, and follows the S.A.F.E. response. This direct question is not a clinical assessment and does not make the Advocate a crisis counselor; its purpose is determining whether immediate safety action is needed. An Advocate never keeps suicidal intent a secret. These procedures are taught as Kingdom Care practice standards. For Academy-operated activities, notify the Academy Director. For outside settings, notify the designated leadership of that organization.

Procedures

  1. 01Stay calm and present; take every statement seriously.
  2. 02Ask directly and calmly whether the person is thinking about suicide, self-harm, or ending their life. This is not a clinical assessment; it is a safety check to determine whether immediate action is needed.
  3. 03Keep the person talking; express care and remove access to means where safely possible.
  4. 04If imminent danger, contact emergency services (911) immediately and stay on the line.
  5. 05For suicidal crisis support, contact or connect the person to the 988 Suicide & Crisis Lifeline (call or text 988).

  7. 07Do not promise secrecy; explain that you must get help to keep them safe.

Policy 7.02

Abuse Disclosures

Purpose

To respond to disclosures of abuse — particularly of minors or vulnerable adults — with the seriousness and reporting they require.

Policy Statement

When a person discloses abuse of a minor or vulnerable adult, the Advocate listens, does not investigate, and reports to the appropriate authorities and designated leadership as required by law and this policy. The Advocate supports the person and does not attempt to verify or dismiss the disclosure. These procedures are taught as Kingdom Care practice standards. For Academy-operated activities, notify the Academy Director. For outside settings, follow that organization's approved reporting procedures and notify the designated leadership.

  1. 01Listen calmly and affirm the person's courage in disclosing.

Policy 7.03

Domestic Violence

Purpose

To respond to disclosures of domestic violence with safety-first action and appropriate referral.

Policy Statement

Disclosures of domestic violence are handled with attention to the person's immediate safety. The Advocate does not confront the alleged abuser, does not advise the person to simply leave, and connects them to professional resources. In a medical emergency, the Advocate contacts emergency services immediately, stays with the person if possible, and notifies the designated leadership. Harassment

Purpose

To prevent and respond to harassment within Academy-sponsored activities so that all are safe and respected.

Policy Statement

Harassment of any kind — toward those served, students, or leaders — is not tolerated. Reports are taken seriously, addressed promptly, and handled with care for all affected.

Procedures

  1. 01Take any report of harassment seriously and respond without delay.
  2. 02Ensure the immediate safety of the person reporting.
  3. 03Report harassment to the Director immediately for Academy-operated activities; matters involving a leader are handled by the Director.

Policy Statement

The Director maintains a current Emergency Contacts & Crisis Resources list (Appendix B) covering emergency services, crisis lines, and Academy leadership contacts. Every student and Advocate has access to this list. For Academy-operated activities, the Academy Director serves as the primary Academy contact. For outside churches, ministries, or organizations, graduates should follow that organization's designated emergency contact procedures.

Purpose

Any incident involving safety, crisis, boundary concern, or significant exception to policy is documented in an Incident Report and submitted to the Director within 24 hours.

Active Enrollment

Purpose

To ensure students maintain active enrollment status as the foundation of their Academy participation.

Policy Statement

Active enrollment is required for participation in Academy activities and access to Academy resources. Students maintain active status by completing required coursework and participating in required activities applicable to their enrollment format.

Procedures

Policy 8.03

Continuing Education

Purpose

To encourage ongoing formation so that graduates grow in skill and stay current where they serve in Academy-sponsored roles.

Policy Statement

KCMA encourages continuing education for graduates serving in Academy-sponsored roles. Continuing education requirements apply to Academy-sponsored activities and roles. KCMA does not universally require annual continuing education of all graduates in every outside ministry setting unless participating in a specific Academy-sponsored activity where requirements apply.

Temporary Leave

Purpose

To provide a graceful path for students who need to step back temporarily.

A student may request a temporary leave of absence for health, family, or personal reasons. Leave is approved by the Director, documented, and includes a plan for return or reassessment. No refunds are provided for leave (Policy 1.12).

Policy 8.06

Withdrawal

Purpose

To provide a respectful process when a student withdraws from the Academy.

Policy Statement

A student may withdraw from the Academy at any time. Withdrawal is handled respectfully. No refunds are provided for withdrawal (Policy 1.12). A withdrawn student may apply for readmission through the standard admissions process.

Policy 8.07

Academy Dismissal

Purpose

To address situations where a student must be dismissed for the protection of those served or the integrity of the Academy.

Policy Statement

A student may be dismissed from active enrollment for serious or repeated violation of this manual, breach of confidentiality, boundary violation, misconduct, or conduct disqualifying under the Academy's standards. Dismissal is decided by the Director and handled with dignity and documentation. KCMA does not have authority to remove someone from an outside church or independent ministry; dismissal applies only to Academy enrollment and access.

Leave of Absence, Withdrawal & Re-entry

Purpose

To provide a clear, compassionate, and consistent framework for advocates who need to step away from training temporarily or permanently, and for those who later seek to return.

Policy Statement

Kingdom Care Ministry Academy recognizes that unexpected personal, family, work, ministry, or other circumstances may temporarily affect an advocate’s ability to continue training. This policy provides paths for leave of absence, withdrawal, and re-entry that preserve the dignity of the advocate and the integrity of the Academy.

Procedures

  1. 01Leave of Absence: An enrolled advocate may request a temporary leave of absence by contacting the Academy. When approved, the advocate’s enrollment record will be placed on leave rather than withdrawn. The Academy will maintain a record of completed coursework and requirements.
  2. 02When the advocate is ready to return, the Academy will review the student’s record and determine the appropriate point of re-entry. When feasible, the advocate may resume with the next available cohort or continue from the appropriate point in the training.
  3. 03Tuition: An approved leave of absence will not automatically require the advocate to repay tuition already paid for the same program. Additional charges would apply only when appropriate and disclosed to the advocate before re-entry.
  4. 04Withdrawal: Advocates who decide not to continue may request a formal withdrawal. Their Academy record will reflect the coursework and requirements completed through the date of withdrawal. Withdrawal does not result in the issuance of a Certificate of Completion or commissioning recognition when program requirements have not been completed.
  5. 05Returning After Withdrawal: A former advocate who later wishes to return may request re-entry. The Academy will review the previous enrollment, time away, completed requirements, current curriculum, and any program changes before determining what requirements remain.
  6. 06Academy Discretion: Re-entry into a future cohort is subject to program availability and the Academy’s current academic and ministry-training requirements.

Incident Reports

Purpose

To document incidents thoroughly for follow-up, accountability, and learning.

Policy Statement

Incident Reports record any safety, crisis, boundary, or significant exception event. They are factual, complete, submitted to the Director within 24 hours, and reviewed within 48 hours.

Purpose

Each referral is recorded in the Referral Form, including the need, the resource referred to, the date, and the follow-up outcome.

Storage

Purpose

To secure all ministry records against loss, theft, and unauthorized access.

Policy Statement

Ministry records are stored securely — physical records in locked locations, digital records in access-controlled systems — accessible only to authorized personnel.

Policy 9.08

Retention

Purpose

To define how long Academy records are retained.

Policy Statement

Academy records are retained for a defined period and then destroyed by confidential means. Retention balances continuity, accountability, and the privacy of those served. The retention periods below apply to Academy-specific records. Where ministry documentation forms (Prayer Logs, Care Contact Logs, etc.) are used in Academy-sponsored activities, these retention periods apply. Where graduates serve in outside organizations, that organization's retention policies apply. These retention periods are Academy-specific rules, not universal legal requirements; they do not create legal obligations for outside organizations.

  1. 01Retain Academy student records for the duration of enrollment plus seven years.
  2. 02Retain Care Contact Logs and Follow-Up Forms for three years after the care relationship closes, where used in Academy-sponsored activities.
  3. 03Retain Incident Reports for seven years.

Policy 9.09

Confidential Destruction

Purpose

To destroy records securely when their retention period ends.

Policy Statement

Records destroyed at the end of their retention period are destroyed by confidential means — shredding for physical records, secure deletion for digital records — and documented.

Procedures

Purpose

To define the official Academy completion credential.

Policy Statement

The Certificate of Completion in Kingdom Care Ministry is the official Academy completion credential. It is not a degree, diploma, professional certification, state certification, ministerial license, or ordination credential.

Policy updates may be proposed by the Director at any time in response to need. Updates take effect upon approval by the Director (Policy 10.05) and are communicated to all students, administrators, and staff.

Approval Process

Purpose

Appendix A

Definitions & Ministry Terminology

A shared vocabulary ensures every student and Advocate understands Academy and ministry concepts in the same way. The following terms are used throughout this manual with the meanings defined here.

Kingdom Care

The ministry of prayer, presence, active listening, emotional support, and appropriate referral offered to those who are weary, grieving, seeking, or in need.

Academy

Kingdom Care Ministry Academy (KCMA), a faith-based ministry training program operated by Kingdom Wellness Center, LLC, providing training in biblical foundations, compassionate care, and ministry support skills.

KCMA

Abbreviation for Kingdom Care Ministry Academy.

Advocate

An individual who has completed the Kingdom Care Ministry Academy, signed the KCMA Student/Graduate Policy Acknowledgement, and been commissioned. Advocates serve in Academy-sponsored activities and may serve in their own church, ministry, or community contexts after completion.

Team Lead

A possible role within an Academy-sponsored or outside ministry context. KCMA does not currently maintain permanent Team Leads as an institutional structure; where this term appears, it refers to a role that may be assigned for specific Academy-sponsored activities or that may exist in an outside ministry setting.

Director

The Academy Director (Ms. Taylor), responsible for the administration and oversight of Kingdom Care Ministry Academy. The Director is not the permanent supervisor of every graduate's outside ministry.

Care Conversation

A structured, bounded interaction in which an Advocate listens, prays where welcome, reflects, and identifies next steps with a person in care.

Prayer Request

A specific request for prayer shared by an individual, held according to their stated wishes.

Care Connection

The official term for follow-up ministry interactions that nurture an ongoing relationship of care after initial contact.

Referral

The act of connecting a person to a professional, pastoral, or community resource when their need exceeds Kingdom Care.

Escalation

The process of routing a concern to the designated leadership — the Academy Director for Academy-operated activities, or the designated leadership of the organization where the person is serving — when it exceeds an Advocate's scope or training.

Incident

Any event involving safety, crisis, boundary concern, or significant exception to policy, documented in an Incident Report.

Confidentiality

The obligation to protect information shared in ministry, breached only under the exceptions defined in Policy 4.08.

Dual Relationship

A situation in which an Advocate has an additional relationship (family, business, social) with a person in care.

Scope of Ministry

The defined boundaries of what Kingdom Care is and is not (Policy 5.01), distinguishing it from counseling, therapy, and other professional care.

Vulnerable Adult

An adult who, due to condition or circumstance, is at heightened risk of harm and merits particular care and protection.

Servant Leadership

The leadership culture of the Academy, in which authority is exercised as service, modeled on Christ.

Continuing Education

Ongoing formation encouraged for graduates serving in Academy-sponsored roles. KCMA does not universally require annual continuing education of all graduates in every outside ministry setting unless participating in a specific Academy-sponsored activity where requirements apply.

Commissioning

A faith-based act of prayer, encouragement, recognition, and spiritual sending associated with Kingdom Care Ministry Academy. Commissioning does not confer ordination, ministerial licensure, professional certification, counseling licensure, an academic degree, or legal authority.

S.A.F.E. Response

The crisis response pattern used in the ministry: Stay present, Assess safety, Facilitate help, Escalate to leadership.

Kingdom Wellness Center provides Christian coaching and wellness support for individuals seeking non-clinical coaching. Appendix C

Quick Reference Flowcharts

The following flowcharts guide Advocates through common ministry situations. In any immediate danger, contact 911 first and follow Section 7. For Academy-operated activities, escalate to the Academy Director. For outside settings, escalate to the designated leadership of that organization.

Crisis Response — S.A.F.E.

Stay with the person. Assess immediate safety. Facilitate help (911, 988, or appropriate resource). Escalate to designated leadership immediately — Academy Director for Academy-operated activities, or organizational leadership for outside settings. Document in an Incident Report within 24 hours.

Suicidal Statement

Take seriously → Ask directly about suicide, self-harm, or ending life → Stay present → Remove means if safe → Call 911 if imminent, or connect to 988 → Notify designated leadership → Do not promise secrecy → Document.

Abuse Disclosure (Minor/Vulnerable Adult)

Referral

Identify need → Match to resource → Offer warmly → Provide contact info and help first step → Document Referral Form → Follow up to confirm connection.

Escalation

Recognize scope exceeded → Escalate to designated leadership (Academy Director for Academy activities, or organizational leadership for outside settings) → For safety, follow Section 7 and notify designated leadership immediately → Document.

Confidentiality Exception

Safety concern, legal duty, or Director direction → Notify designated leadership immediately → Share minimum necessary → Document in Incident Report → Maintain need-to-know confidentiality.

KCMA Student/Graduate Policy Acknowledgement

Every student signs this form upon enrollment and again at each annual review where applicable. It affirms that the student has read, understood, and agrees to uphold the policies of this manual as they apply to Academy enrollment, conduct, and Academy-sponsored activities.

I affirm that I have read the Kingdom Care Ministry Academy Policies & Procedures Manual (Volume 6) in full.

I affirm that I understand the policies contained in this manual and agree to uphold them while participating in Kingdom Care Ministry Academy.

I affirm that I understand the scope of Kingdom Care (Policy 5.01) and will refer needs that exceed it (Policy 5.08, 5.09).

I affirm that I will maintain confidentiality according to Policy 4.08, including its defined exceptions.

I affirm that I will follow the crisis and safety procedures in Section 7 and notify designated leadership as required.

I affirm that I will complete required documentation (Section 9) and participate in Academy community activities and continuing education where applicable.
